Client Onboarding Process

Getting started with Metarithmika: six simple steps from first call to monthly support. Most clients are fully set up within 2–4 weeks, depending on how current their records are.

Step 1 — Free Financial Clarity Call (20 minutes)

A no-pressure conversation about your business or non-profit. We:

  • learn about your organization, structure and goals;
  • discuss your current bookkeeping, payroll and filing challenges;
  • answer your questions and explain how we can help.

Step 2 — Your proposal and service plan

We recommend the plan that fits your needs and send a clear proposal:

  • Standard Plan — essential monthly bookkeeping for small businesses.
  • Premium Plan — an assigned accounting team, monthly statements, payroll for up to 2 employees, and admin support.
  • Custom Plan — tailored to your transaction volume, employees, reporting and filing needs, including fractional CFO support.

Non-profit organizations receive 20% off their first 3 months. Once you accept, we sign the engagement and service plan together.

Step 3 — Secure document collection

  • We send you a document checklist tailored to your organization.
  • You upload documents through our secure, encrypted file-sharing system.
  • We help you organize anything that is missing or out of order.

Step 4 — Account and software setup

  • We set up your file and access to your accounting software (QuickBooks Online or Sage 50).
  • We configure receipt management so you can snap and send receipts.
  • We set up or connect your payroll (for example Wagepoint or your existing provider), if needed.
  • You authorize us with the CRA ("Represent a Client") where your plan includes filings.

Step 5 — Review, clean-up and schedule

Your dedicated team:

  • reviews your records and flags any catch-up work (quoted separately, if needed);
  • sets up your chart of accounts and reporting structure;
  • builds your calendar of filing and remittance deadlines;
  • agrees on how and when we communicate.

Step 6 — Ongoing monthly support

  • Monthly reconciliations and financial reports.
  • Regular review meetings, as included in your plan.
  • Support by email, phone and video call — we reply within one business day.
  • Deadline reminders, so nothing slips through the cracks.
